Your Own Division Administrator
At P.A.C.E. High Touch Is Everything.
- It's Like Having Your Own Executive Assistant
- Having an extraordinary mix of independence, freedom, and
self-direction does not mean you have to "go it alone."
- We match you with a dedicated Division Administrator whose
full-time job is making sure that everything having to do
with your division runs smoothly. Your Division Administrator
is your personal coach, mentor, advisor, and aide.
- Your Division Administrator is your principle point of contact
with P.A.C.E.
- Your Division Administrator does the tedious, back-office,
administrative tasks of running your division so that you
can focus on what you do best. Namely, delivering the highest
quality consulting services to a client that needs your undivided
attention.
- Advantage to you: It's
like having your own Executive Assistant. You are able to
be more efficient, bill more hours, spend more time building
your business, and make more money.
- What Your Division Administrator Does
For You
Below is a partial list of the administrative tasks
that you don't have to do yourself because your Division Administrator
does them for you.
- Sets You Up in Your Own Division of P.A.C.E.
- When P.A.C.E. receives your completed New Employee Package
we assign a dedicated Division Administrator to oversee
your division. Using the information that you have submitted,
your Division Administrator sets up your one-person division
in P.A.C.E. Base, the exclusive, in-house database
and report-generation software that drives P.A.C.E. Solo W-2™.
- Advantage to you:
You don't have to set up and manage your own business
entity. Your personal Division Administrator does that
for you through P.A.C.E. Solo W-2™.
- Sets Up Your Insurance and Retirement Plan
- Your Division Administrator will send you the enrollment
forms for P.A.C.E.'s Retirement Savings Plan and P.A.C.E.'s
group insurance plans. Your Division Administrator will
then walk you through the entire process and validate the
accuracy of the information you submit.
- Advantage to you:
Hey. Who enjoys filling out beneficiary forms and insurance
forms? Its not fun, but your Division Administrator makes
it a lot easier.
- Coordinates Client Setup and Contract Review
- Whenever you line up a new client, you submit a new Client
Site Information form to P.A.C.E. that details key contacts
at the client, billing rate, start date, duration, deliverables,
and other pertinent information. When P.A.C.E. receives
the Client Site Information form your Division Administrator
will coordinate with a P.A.C.E. Contracts Administrator
who will confirm with you the details of your arrangement
with the client.
- The Contract Administrator contacts the client to set
up the client-vendor relationship and negotiate invoicing
and payment schedules. We always press for the fastest payment
terms possible by reminding the client that "timely
payment of outstanding invoices ensures the continued availability
of the Contract Professional."
- Your Division Administrator keeps you abreast of everything
having to do with your client. He or she reviews your client
contracts and, with your full participation negotiates favorable
contract terms and contract language.
- Your division Administrator tracks your contract, and
notifies both you and your client when it is time to negotiate
a contract extension.
- Advantage to you:
Your Division Administrator represents The Professional
Association for Contract Employment, an established and
well-respected advocate for Contract Professionals. Because
clients respect P.A.C.E. and respect what we stand for they
are more likely to negotiate favorable contract terms and
payment schedules with P.A.C.E. than with an individual
contractor.
- Processes Your Time Sheets and Invoices Your Clients
- P.A.C.E. Base knows when your time sheets are due
so that your Division Administrator can alert you when a
time sheet is late.
- Using P.A.C.E. Base and your online time sheet,
your Division Administrator automatically generates a detailed
invoice and submits it to your client. Your job is earning
the money. Your Division Administrator's job is making sure
that you are paid on time.
- Advantage to you:
Delayed invoicing and poor follow-up are the leading contributors
to slow cash flow. Your Division Administrator manages these
unpleasant functions so that you don't have to.
- Collects Your Division's Revenues
- P.A.C.E. Base knows when your client's payment
is due, and it alerts your Division Administrator whenever
a revenue payment is overdue. That way your Division Administrator
is always on top of collecting your division's receivables.
As we stated above, your job is earning the money. Your
Division Administrator's job is making sure you get paid
on time.
- Advantage to you:
For many Contract Professionals, the collections process
is harder than locating new projects. Your Division Administrator
is highly trained in the art of assertive collecting, ensuring
that your clients remit payment to your division when they
have agreed to.
- Validates, Approves, and Reimburses Your Out-of-pocket
Business and Medical Expenses
- Your Division Administrator audits your receipts, reconciles
your online expense report, and enters the information into
P.A.C.E. Base, which then organizes your expenses and
automatically deducts the tax-free payment from your division's
revenue stream.
- Advantage to you:
Your Division Administrator does all
the accounting of out-of-pocket expenses for you, and makes
sure that you receive the maximum tax advantage.
- Manages Your Per Diem and Auto Allowance Payments
- You may qualify for tax-exempt per diem and auto allowance
payments when you are working and living out-of-town. Your
Division Administrator helps you set up these accounts,
and employs P.A.C.E. Base to calculate and track
your tax-exempt per diem and auto allowance payments.
- Advantage to you: Your
Division Administrator does all the accounting of tax-exempt
per diem for you, and makes sure that you receive the maximum
tax advantage.
- Prepares Your Online Revenue and Expense Reports
- Your Division Administrator uses P.A.C.E. Base
to generate a detailed, online, revenue and expense report
with every payroll. Organized like a standard profit &
loss statement, these easy-to-read, online reports are the
central feature of P.A.C.E. Solo W-2™. They document in detail
what happens to every penny that passes through your division
of P.A.C.E.
- Advantage to you: Your
Division Administrator gives you a complete accounting of
revenues and expenses with every payroll so you always know
exactly where you stand.
- Tracks Milestones and Reminders
- Tracks annual wage caps for Social Security and unemployment
taxes, and passes on the savings to you when the caps are
exceeded.
- Tracks recurring payments for your different group insurance
premiums.
- Validates and processes retirement plan contributions,
general expenses, medical expenses, dependent child care,
and per diem.
- Tracks contract milestones, purchase order limits, renewal
dates, and termination dates to ensure that your contracts
never lapse.
- Tracks referral rewards, and makes sure that you are properly
compensated for P.A.C.E. Division Managers that you bring
to P.A.C.E.
- Your Division Administrator even remembers your birthday.
- Advantage to you:
Your Division Administrator and P.A.C.E. Base stay on top
of it all so that you don't have to.
- Processes Your Payroll
- Everything your Division Administrator does for you relates
ultimately to how you are paid. P.A.C.E. processes payroll
on Wednesday based on undisbursed revenues received by your
division prior to Wednesday morning. While normal pay days
are Fridays, holidays may alter this schedule. P.A.C.E.
uses the payrolling services of ADP, which issues your net
pay via direct deposit.
- With every payroll, P.A.C.E. posts an online copy of your
division report itemizing each division expense. ADP also
posts an online payroll stub itemizing your payroll deductions
and net pay. At the end of the year you receive an annual
division report and IRS Form W-2.
- Advantage to you:
Thanks to the dedicated work of your Division Administrator,
the sophisticated reporting features of P.A.C.E. Base, and
the powerful payroll processing capabilities of ADP, your
payroll is virtually automatic. And so simple that many
of our Division Managers report that they are able to submit
their annual tax returns using IRS Form 1040EZ!
- Bottom Line to You
- Does all of this seem more than a little overwhelming?
Well, it is! And, as a self-employed independent contractor,
you would have to do it all on your own.
- As a P.A.C.E. Division Manager, you have at your disposal
the resources of a fully staffed Corporate Back Office,
and the support of your own dedicated Division Administrator.
- Advantage to you: As a P.A.C.E. Division
Manager you don't have to do any of the drudge work. Your
Division Administrator does it all for you, so that you
can focus on what you do best, namely, delivering quality
consulting services to your clients or quality business
services to your customers.
